Individual Teachers

After setting up an account, individual teachers can register students for any SoloChair festival. The simple online form submits the information to a database through a secure connection where the Chairperson can access the data with his/her password.

The "My Account" Page lists information about each festival including a mail link to the Chairperson and a Map link for directions. (Login as a demo member) The member can see how many students he/she has registered for each festival, and print an invoice for each.(sample invoice)

There is no need for the teacher to complete extra "tally sheets." One form is all that they need to complete, and the Chair has acces to all the necessary data,

After the festival has been scheduled, the member can log on to print his/her schedule.* If a conflict should arise at a later date, the member can even search and view* the entire schedule to find a solution.
(For the sake of confidentiality, teachers can only view names of their own students.)


Chairperson

As a Chairperson, you receive an extra set of tools when you log in.

Example:

The "Manual Entry" tool, allows the Chair to enter students that were not submitted online for some reason. It uses the same form as the standard registration. You can enter the data quickly, without having to retype the common information, like teacher's name and school address.

Once Registration is closed, you may choose to download the data (as a tab-delineated file) and import it into your favorite database or spreadsheet program. This feature alone will save you countless hours of typing. However, SoloChair also has many online tools to help you. Although, SoloChair, won't build the entire schedule, it can aid you in every step of the scheduling process.

The "Search and Print " tools allow the Chair to view the entire database while searching and sorting by numerous categories. You may also print invoices and schedules for each teacher.

Example:

The "Instrument Totals" Page shows the number of each instrument, broken down by level. It also lists the amount of time needed for each instrument family, based on the time allotted for each solo or ensemble.

With the "Assign Rooms" tool, the Chair sets how many rooms for each family and then assigns which instrument/level goes in each room. By doing this, all the room numbers are entered in the database, saving you from having to enter them for each individual student. You only have to change a few records to account for overflow.

You can then sort by room and start entering times. During entry, only one hand needs to be on the keyboard because a <period> can be substituted for the <colon> (which requires the <shift> key.)

One of the elements that plagues most schedulers is accompanists conflicts. With SoloChair, you can choose to view the times which you have already scheduled for each accompanist.(see the red arrow below) No need to flip back and forth between views, and no more waiting until the whole schedule is built, and then going back to fix problems.*

Example:

When you have completed the schedule, you can use the "Label Maker" to print address and return address labels right from SoloChair. Also, you can print student labels to go on forms or folders. The student labels can be customized with up to five lines of data.

With the "ChairMail" tool you can even skip mailing out schedules all together. Instead, send an email to all the teachers registered for your festival saying, "The schedule is complete, please log on to SoloChair.com to print your copy." Not only does this save you time, but it also will save you money on ink, paper, and postage.*
